How Far In Advance Should We Book an Event Photographer?
For larger conferences, multi-day events, and projects requiring multiple photographers, we recommend reaching out as early as possible, particularly during the busy spring and fall event seasons in Chicago.
That said, schedules change and events sometimes come together quickly. If your event is approaching, please reach out. We’ll confirm availability and let you know what coverage options are possible.

We begin by learning how your event is structured and what matters most to your organization. Before the event, we review schedules, room locations, VIPs, speaker information, shot priorities, sponsor requirements, brand considerations, delivery needs, and any photography restrictions.
For conferences and more complex events, we also review overlapping sessions, lighting conditions, access requirements, and photographer assignments in advance.

How Do You Handle Complex Event Schedules?
For conferences with overlapping breakout sessions, general sessions, networking events, executive meetings, sponsor activations, or multiple venues, we map the photography coverage to the event agenda in advance.
For larger conferences, we often recommend multiple photographers so your image library goes beyond basic documentation and provides more comprehensive coverage across speakers, attendees, sponsors, networking, and the overall event experience.
We determine where each photographer needs to be, which sessions take priority, and how the team should adjust if the schedule changes, so coverage stays coordinated without requiring your team to manage photographers throughout the day.
What If We Need Expanded Usage Rights Or Copyright Ownership?
Our standard licensing provides generous worldwide usage rights that meet the needs of most clients. However, we offer three additional options for an additional fee: Identity Privacy, Copyright Buyout with License Back, and Full Copyright Buyout. We’re happy to discuss your organization’s requirements and help determine the best option for your project.
Can You Work With Our Brand Guidelines And Requirements?
Absolutely. Corporate event photography often needs to serve multiple teams and uses, so we can work from your brand guidelines, photography standards, shot lists, executive priorities, sponsor requirements, and specific marketing or communications needs.
We can also account for restricted photography areas, confidential sessions, attendee limitations, preferred compositions, image delivery specifications, and other project-specific requirements during the planning process.
